Description: The Project Coordinator, under the direction of the Director of the Justice and Prevention Research Center (JPRC), will provide senior level coordination for the JPRC, including being a member of its leadership team and participating in the current operation and direction of the Center. A critical role will be to provide project coordination for several of the JPRC's individual projects to ensure all deliverables are submitted on time, on budget, and are of the highest quality. This includes coordinating large scale evaluations, including current projects funded by the U.S. Department of Health and Human Services, U.S. Department of Justice, and large-scale evaluations funded by Foundations.

WestEd - a nonpartisan, nonprofit research, development, and service agency - works with education and other communities throughout the United States and abroad to promote excellence, achieve equity, and improve learning for children, youth, and adults. WestEd has offices nationwide, from Massachusetts, Vermont, and Georgia, to Arizona and California, with headquarters in San Francisco.

Become member of the JPRC leadership team, participating in discussions and decisions about successful integration within the Health & Justice Program and WestEd, workflow, staffing, tools, resources, revenue and future directions. Maintain issues log and work with JPRC Director on ensuring that identified issues are tracked for resolution.

Responsible for identification of JPRC, Health & Justice Program and WestEd resources to be publicized on the JPRC website and through its periodic newsletter, the JPRC Update.

Responsible for overall JPRC coordination and several JPRC projects. For assigned individual JPRC projects, contribute to the development and management of project work plans and budgets to ensure timely submission of deliverables. Track and document progress toward milestones, communicate timelines and necessary steps to ensure smooth and timely workflow among staff and subcontractors, and identify and track issues and risks, escalating as necessary.

Facilitate and document internal and external project communications: Schedule meetings, develop and disseminate meeting agendas and materials, prepare meeting summaries, document and communicate decisions and action items.

Ensure consistency of approach across the program by following established processes and protocols while engaging in process improvement when appropriate.

Exhibit mastery of WestEd tools such as Box, Google Docs, Smartsheet, Zoom, SAP/Concur, Excel, and Word to apply them to project processes. Act as an expert resource to program staff in effective use of these tools.

Identify business development opportunities and screen proposals for action by the JPRC or send to other Health & Justice Program or WestEd staff for action.

Coordinate development of proposals for the JPRC, establishing and tracking a production schedule, communicating needs and deadlines to proposal team members, coordinating with WestEd departments (contracts, finance, and ID) to prepare proposal specific forms for submission, following established WestEd processes to ensure internal approvals are obtained, and overseeing quality control efforts to ensure all proposal requirements are met.

Develop content knowledge and key concepts within projects / service areas and apply that knowledge to the development of meeting notes, project correspondence, reports, presentations, and spreadsheets for internal and external audiences.

Collaborate with other senior staff in preparing project deliverables including progress reports, publications and presentation materials designed to disseminate results of research projects to broad and diverse audiences. Assist in writing summary content for the JPRC newsletter. Provide quality control review of all deliverables and products including the newsletter and website.

Work with HJP finance and WestEd finance to track budget and expenditures to ensure timely and appropriate expenditures.

Support grant and project management by WestEd, coordinating with implementation team on specific needs and timelines, and assist with grant and subcontract monitoring, reporting, and subcontract renewal processes, including budget, research, and content development by coordinating with subcontractors, consultants and internal WestEd staff.

Bachelor's degree.

Four to eight (4-8) years of project coordination experience.

Affinity for applying structure to team activity; highly organized, appreciates the need for rigorous documentation, flexible enough to adapt plans to rapidly changing circumstances.

Proven ability to work in a fast-paced environment dealing successfully with short- and long-term priorities simultaneously, as well as coordinating multiple projects at one time.

Demonstrates highest-quality collaboration skills for both internal and external stakeholders, including excellent interpersonal communications, dependability, reliability, and professionalism.

Experience with coordinating federally funded projects and grant reporting requirements with the Department of Justice and the Department of Health & Human Services.
